EXHIBITOR RULES AND REGISTRATION

  1. Registration: All exhibitor registrations will be managed via the Internet. All manufacturers and their representatives attending the conference and exhibit hall must register.

  2. Badges: All manufacturers and their representatives attending the conference must wear the conference badge for admission to the exhibit area.

  3. Booth Selection: Upon receipt of full payment, space choice will be allocated on a first-come, first-assigned basis.

  4. Exhibit Hall Location: Exhibits will be located in the Northeast Hall of the Albuquerque Convention Center. All conference activities take place in the Albuquerque Convention Center, with the exception of the Tuesday Banquet, which will be at the Hyatt Regency hotel.

  5. Exhibit Hall Hours: Sunday 5-7 PM; Monday 11:30 AM–6:30 PM; Tuesday 7:30 AM–12 PM. See Exhibit Hall Schedule & Information page for details.

  6. Payments for Exhibit Space: Booth fee is $700 for a 10-foot by 10-foot booth. After August 1, 2009, booth fee is $800.00 per space. Fee includes the following:

    1 Skirted table (2 feet x 6 feet) with blue skirting
    8-foot high blue and white back wall, 3-foot high blue side rail drape
    2 chairs
    Aisle carpet and booth carpet (blue) (Booth carpet is a $114 value paid by the conference committee)
    One Identification Sign with Company Name, City, State
    2 Exhibitor Registrations & Badges** (see Note)
    Sunday – Meet & Greet Reception in Hall
    Monday – Light Lunch in Hall (tentative)
    Monday – Toilet Bowl Trivia Contest in Hall
    Tuesday – Breakfast Buffet with the Exhibitors in Hall
    Tuesday – Water Taste Test in Hall
    Door Prize Drawings in Hall
    Official Conference Attendee Opt-In List (Registered as of August 5, 2009)

    Additional services such as telephone line, water, electricity, internet, receiving shipped packages, storage, etc., must be arranged directly through Convention Services of the Southwest (CSS) Exhibitor Service Kit to be sent out closer to the Conference date. Electricity is NOT included, but may be purchased through the CSS.

    **NOTE – If you plan to attend any ticketed event, such as the banquet or a business lunch, etc., you must fill out a Conference Registration Form and send payment to TEAMS to obtain your ticket(s).

  7. Setup Instructions: Exhibitors must register prior to 5:00 pm on Sunday. Setup of exhibits may commence at 4:00 pm to 6:00 pm on Saturday, 9/12/2009, or at 7:00 am on Sunday, 9/13/2009. Setup must be completed by 3:00 pm Sunday, 9/13/2009 to allow for the Fire Marshall Inspection from 3:00 to 5:00 pm. Booths not set up by 3:00 pm Sunday may be cancelled and resold. Boxes, crates, large items, etc. may be stored behind curtains on the east side of the convention center exhibit hall space or arrangements may be made directly with Convention Services of the Southwest (CSS).

  8. Dismantle Instructions: Exhibitors may dismantle from 12:00 to 2:00 pm on Tuesday, 9/15/2009. Booths must be completely dismantled by 2:00 PM.

  9. Early Dismantling: Exhibitors are prohibited from dismantling booths prior to the final day’s official Exhibit Hall closing hour of 12:00 pm on Tuesday, 9/15/2009. Early dismantling may result in loss of future exhibition privilege.

  10. Cancellation and Withdrawal:A 50% service fee will be charged on all cancellation requests received prior to August 1, 2009. No refunds will be made after August 1, 2009.

  11. Registration Cutoff:Booth registration will be accepted as long as space is available. The deadline for listing in the Conference Program Handbook is July 25, 2009.

  12. Smoking Policy: No smoking will be allowed in the Exhibit Hall.

  13. Alcohol Policy: Exhibits may not serve alcoholic beverages at any time or for any reason.

  14. Use of Exhibit Space: Exhibits are confined to products manufactured or services rendered by the exhibitor. No exhibitor shall assign, sublet, or share the space allocated without approval by the RMSAWWA/RMWEA Joint Annual Conference Exhibit Coordinator. Exhibitors are required to have the assigned exhibit space neat and orderly at all times. Exhibits are not permitted in any other location without written permission from the RMSAWWA/RMWEA Joint Annual Conference Exhibit Coordinator. No flammable decorating materials are permitted. Exhibitors must accept full responsibility for compliance with all local, state, and national fire safety regulations. No excessive noise will be allowed. No attaching of material to any floor, walls, columns, or drapes will be permitted. Only items and/or services normally associated with the water/wastewater utilities industry may be exhibited.

  15. Liability: Neither the Rocky Mountain Section of the American Water Works Association (RMSAWWA) nor the Rocky Mountain Water Environment Association (RMWEA) assumes any responsibility for the protection and safety of exhibitors, their representatives, agents, or employees, or for the protection of exhibits or other property of exhibitors or their representatives. Each exhibitor agrees to indemnify the Rocky Mountain Section of the American Water Works Association and the Rocky Mountain Water Environment Association and hold same harmless from all claims that such exhibitor or its representatives, agents, employees, contractors, or insurers may bring against same in connection with any injury to person or property caused by the actions or negligence of such exhibitor or its representatives, agents, employees, or contractors, including paying all court costs, attorney fees, and other expenses incurred by the Rocky Mountain Section of the American Water Works Association and the Rocky Mountain Water Environment Association in defending against, satisfying, or compromising any such claim.


Show Management Reserves the Right to Make Location Changes if Needed.
